Virtual Administrative & Booking Assistant---JOB DESCRIPTION

STUSH in the BUSH is looking for a remote contractor to work as a Virtual Administrative & Booking Assistant (time requirements can range between 2 to 3 hrs per day, 5-6 days per week, particular availability required on Fridays, Sundays and some public holidays)

STUSH in the BUSH offers gourmet Farm to Table Dining Experiences and products from the regenerative ZionItes Farm located in Bamboo, St. Ann.

KEY RESPONSIBILITIES

Ø  Respond to daily phone calls, emails and text messages regarding details about Dining Experiences

Ø  Manage and organize the STUSH Assistant email inbox

Ø  Write letters, produce documents e.g. client contracts, job letters, product listings

Ø  Maintain the calendar, make appointments, organize meetings

Ø  Liaise with clients, suppliers and staff

Ø  Source goods and establish business accounts

Ø  Maintain product lists, and ensure accuracy of pricing and update same as needed

Ø  Create and follow-up on invoices and payments

Ø  Provide regular updates and check-ins on tasks and projects

Ø  Website updates

 

The Ideal Candidate will be familiar with/or willing to learn

·      All about STUSH in the BUSH and what we do

·      Google Calendar - All Scheduling

·      Google Suite/Drive

·      Bookeo - Booking Software

·      QuickBooks - Accounting Software

·      Squarespace or other website hosting platform

·      Simple graphic design (e.g. for flyers)

·      Jot Form - Online Store Software

·      Able to use Microsoft Office or Apple’s equivalent

·      Food and the Food Industry 

·      Recipe writing and cookbook development

·      Must be able to document hours

EXPERIENCE & KEY REQUIREMENTS

·      Minimum 1-2 years previous work experience working virtually in an administrative capacity

·      Ability to build relationships with colleagues and customers and ensure mutual satisfaction

·      Customer-oriented with strong people skills

·      Creativity and innovation with writing for product/ experience descriptions, website development etc. 

·      Patient and friendly with demonstrated experience in problem solving

·      Strong written and spoken communication skills

·      Tact, discretion, confidentiality

·      Recommended Age: 25 years and up

·      Time flexibility

·      Ability to research unfamiliar topics, make contacts and present findings

·      Comfortable in a fast-paced environment

·      Reliable computer, continuous access to strong, stable wi-fi and a full-time data phone plan

·      Comfortable working with WhatsApp as a primary means of communication for supervisory directives

·      Kingston based (desirable)

 

Contractor Fees & Package

Trial period of 3 months - pay scale will increase after this period

Fees commensurate with experience
